{QUICK START} Staff App

Verify Staff Privileges

If you haven't already, you will need to set up your staff members with profiles and give them privileges that will allow them use the app in the ways that you want (checking people in, running payments, updating info, etc).

Go to Setup>Staff>Staff Members.

Use the 'Add a Staff Member' button to create a new staff member, or click on an existing staff member to set their privileges.

You will need to consider giving the following privileges to your staff members:

  • Attendance Coordinator
  • Cashier
  • Re-Run Failed Payments

Download the App & Login

         

 

On your mobile phone, go to the app store and search for 'zen planner staff app'.

Apple phone, use the iTunes store; Android phone, use the Play Store.

After the app is finished installing, launch it and use your usual Zen Planner login credentials to login to the app.

How to Check People in for Classes & Appointments

         

 

To see classes & appointments for a specific instructor, click the funnel icon in the upper right hand corner.

To see classes & appointments for a specific day, click the calendar icon in the upper right hand corner.

Select the class or appointment you are logging attendance for. You will only be able to check in people that are reserved, waitlisted or eligible.

Either click on the person you are checking in, or you can search for them from the search bar at the top.

Click the 'Checked In' tab to see anyone already checked in.

 

How to View & Resolve Blocking Alerts

           

 

You may see one or more of the following blocking alerts & notifications in the staff app:

  • Unpaid Bills
  • Unsigned Documents
  • Custom Alerts
  • Membership Attendance Alert
  • Class Maximum Alert

 With all of these alerts, you will have two options:

-Click on the alert and follow the prompts to resolve the issue (pay the bill with a saved payment account, sign the document, etc).

-Choose to ignore & 'Check in Anyway' by clicking the red bar at the bottom. This doesn't remove the alert.

 

 

How to Update a Member's Profile Info & Photo

      

 

Currently, you can update the following info on a member's profile from the staff app:

  • Name
  • Email Address
  • Primary Phone Number
  • Home Address
  • Profile Photo

To access the member's profile, tap & hold their picture, then select 'Profile' from the popup menu.
