{QUICK TIP} Managing Drop In's

PLEASE NOTE: You need to have the drop in function active for each class you want this available for. If you aren't sure, double-check the online settings for your classes (Setup>Programs>Classes).

 

Drop In's - Staff Use Only Tools

 

Welcome Desk (Studio site)

Use this option to create a drop in reservation/attendance directly through your Zen Planner studio calendar. Welcome Desk can be used on a tablet, desktop or laptop computer capable of running a modern web browser.

Drop In for someone that already has a profile in your system:

  • Click into the class
  • Search for their name
  • Click 'Show All' and locate the person from the results
  • Click the down arrow next to the 'Check In' button and select 'Add to Reserved'
  • You will be able to choose the 'drop in' option from the pop up menu

 

Drop In for someone that is brand new (no profile in your system):

  • Click into the class
  • Click the '+Create New Person' button in the upper right hand corner
  • In the popup menu, fill out the person's basic info and drop them in

 

 

Staff App

Your staff can download the Zen Planner Staff App to their android or iPhone. The app allows staff to collect the drop in fee and mark the person as attended right away.

  • Tap the class the person is dropping into
  • If they have a profile in the system, search for their name & tap it, follow the prompts to drop them in
  • If it is a new person, tap the 'Z' button at the bottom & follow the prompts to create their profile & drop them in

PLEASE NOTE: Dropping someone into a class through the staff app doesn't create a reservation, it marks them as attended immediately, even if the class you drop them into is for a future date. You cannot make reservations through the staff app.

 

 

Drop In's - Member Facing Tools

Kiosk iPad App

The Zen Planner Kiosk iPad App is designed exclusively for use on your iPad and can be launched then left unattended by staff.

Drop In for someone that already has a profile in your system:

  • They type their name into the 'Find Me' field
  • The next page will show them all the classes for that day
  • If they tap on a class that says 'Drop in' in the upper left hand corner, the system will prompt them to check out & pay for the drop in.

Drop In for a brand new person:

  • Tap the 'Sign Up' button in the bottom left hand corner
  • Tap the 'Free Trials & Drop In's ' button
  • Select the class they are dropping into and follow the sign up prompts

 

 

 

Member Connect

This is the public facing side of your Zen Planner database. Anything you have made public (membership sign up's, drop in's, etc.) are accessible by students & prospects.

Drop In for someone that already has a profile & password in your system:

  • They will go to your member connect site on their device
  • Click on the 'Calendar' link & navigate to the class they want to attend
  • Login through the 'Been Here Before?' section
  • Choose the 'Drop In' option and pay for the reservation

 

Drop In for brand new person:

  • They will go to your member connect site on their device
  • Click on the 'Calendar' link & navigate to the class they want to attend
  • Click the 'Sign Up' button in the 'New Here?' section
  • Choose the 'Drop In' option and pay for the reservation
