How to Add a Person using the Staff App

This article describes how to add a person through the Staff App.

Before a Staff Member can add people using the Staff App, that staff member needs to have the following privileges: 

  • View Personal Profiles
  • Attendance Coordinator
  • Enrollment Coordinator

These privileges can be given in studio by going to Setup>Staff> Staff Members. Click on the staff members name. Click on the "Staff Roles" tab and make those selections. Ensure you have the proper email address listed for the staff member and that they can "Log in to the database and access the staff app" under the "Staff Member Profile" tab. Save Changes.

Once privileges are set, you are ready to log into the Free Zen Planner Staff App to add a new person.

You can add a person to your database without adding them to a class, or you can add them directly into a class. 

To add a person that isn't tied to a class, follow these steps:

  1. Click on the "Z" on the bottom of the Staff App.

  2. Tap "Add Person" and fill out contact information.

  3. Once complete, tap "Next" on the top right.

  4. If you have a universal document activated, such as a waiver, the document will appear for the person to sign. The person will tap "Sign Now" and the person will use their finger to sign the document.

  5. Since this person is not tied to a class, you will be taken to their profile from which you can edit their contact information, add a photo (by tapping "edit" on the top right), add payment methods, view bills and add memberships. 


To add a brand new person to a class for a Free Trial or Drop-In, follow these steps:

  1. From the Calendar, click on the class you are adding the person into. 
  2. Then Tap the Z on the bottom and tap "Add Person"
  3. Fill out their contact information and tap "Next" on the top right when done. 
  4. If you have a universal document activated, such as a waiver, the document will appear for the person to sign. The person will tap "Sign Now" and the person will use their finger to sign the document. 
  5. The next screen will allow you to check the person in for a Free Trial and/or a Drop-In (if the class setting allows for Free Trials and/or Drop-Ins).
  6. Indicate which enrollment to use by tapping one of those options and follow the workflow to run the payment or use the Free Trial to check in the person to that class.
