This help document goes over the day-to-day use of Zen Planner's Prospect Funnel.
The prospect funnel is designed to help you organize and follow up with leads to make sure that no prospect falls through the cracks. It also ensures that you and your staff follow the same trackable outreach process for every new prospect. The prospect funnel utilizes different prospect statuses and moving a prospect from one status to the next will trigger a specific automation once the funnel is fully set up. Our clients who have used the prospect funnel have drastically increased their sales every month.

Once you have fully set up the prospect funnel and activated all of the prospect funnel automations you want to use, here is information on the day-to-day usage of the prospect funnel.
PROSPECT FUNNEL DAY-TO-DAY
One of the key features of the prospect funnel is utilizing staff tasks. These tasks make sure that the appropriate staff member is notified of the next action step that is needed for a specific prospect.
Any of the prospect funnel automations that say "Staff Task" next to them will generate a Staff Task.
When a task is assigned to the staff member (which happens automatically through the automation), that specific staff member will receive an email alerting them of the task.
STEP 1. To view your task list, go to Dashboard > My Tasks. You can also click on the name of the task in the email you receive and this will take you to the task section of your database.
STEP 2. The task will specify what action needs to be taken by the staff member. This action involves reaching out to the client and/or updating their prospect status.
To update a person's prospect status, click into the task and click the "Take me there" button. This will take you to the person's profile.
Once you are on the person's profile, click on "Profile Details" on the top left > Go to the "prospect" tab > Change the prospect status to the appropriate status.
STEP 3. The final step is to mark the task as complete. You will do this by going back to the task list - Dashboard > My Tasks. Check the boxes next to the completed tasks and then click "batch update". Change Status to "COMPLETE" and save changes.
You can also mark a task as complete on the person's profile by clicking on the task on the overview page of their profile and selecting "this task is complete".
- Once the prospect status is changed, it puts the prospect back in the funnel and then sets up to trigger the next automation in the sequence
- NOTE: You will need to make sure that a staff member changes a person's prospect status if they talk to a prospect outside of these tasks.
- You will notice that there are "no response" Staff Tasks that ask the staff member to move a prospect to "Not Interested" status if the prospect doesn't respond after the reachouts or if the prospect doesn't convert to being a member after attending the trial.
- If you would like to track how many prospects are in each status, you can do this by going to People > Prospects > Prospects by Status.
