Doors may be closed, but your business is still open!
These are challenging times and we understand the importance of giving you the tools you need to keep your community engaged and participating in the virtual classes you are hosting.
To help, we've added the ability to create a virtual class, and the ability for your members to easily access virtual classes in Member App.
How to set it up in Studio:
- Log into Studio
- Click on Setup
- Click into Classes
- Click + Add Class
- Choose the 'Virtual' location
- Enter in a valid URL (like a Zoom link) that users can access to join your live class
- Save changes
- It is required to put in a URL, however passwords are optional
Setting up a password in Zoom: (OPTIONAL)
- Log into your Zoom Account
- Select settings on the left-hand side
- Edit the following settings at an account level to fit your needs:
- Require a password when scheduling new meetings
- Require a password for instant meetings
- Require a password for Personal Meeting ID (PMI)
- Require password for participants joining by phone
- Embed password in meeting link for one-click join
- Please note, when you choose “one-click join” for a meeting, the password will be encrypted and added to the meeting URL automatically. This allows participants to quickly & securely join your meeting by just clicking the meeting URL without being prompted to enter a separate password.
If you set a password for your meeting you will need to update in Zen Planner:
- Log into Studio
- Click on Setup
- Click into Classes
- Click on the class that needs the password
Members will have access to the password in the Member App on the same screen where they see the meeting information.
Please note, this information is viewable by all members with access to attend the class, regardless of whether they have made a reservation.
How to provide access to this class:
The new class will not automatically be available to members, follow these steps to grant access. Once these steps are complete, this class will be available to all current and future members.
- Click in Membership Options
- Click into the membership you want to add the class to
- Check the box next to this class
- Save changes
Helpful tip on getting the virtual information to your members
- Send an email reminder to your members with the appropriate URL before class.

How to access in Member App:
Once you log into the Member App, you should land on the calendar page. Members will see a clear indication of which classes are virtual with a camera icon.
Members can click into the class to view more details and see the virtual class access info in the Join Now section. For extra security, you can log into your Zoom account and require a password to join the virtual class. Passwords will appear in the Join Now section below the virtual class link. Your members can click on the link to join the virtual class on their phone or copy the code to join by computer.
How to access in Member Connect:
Once the member has logged into Member Connect, they can access the Zoom ID by clicking into the class.
Please note, this information is viewable by all members with access to attend the class, regardless of whether they have made a reservation.
Virtual Appointments:
When booking the appointment in Studio you will put the location as virtual and it will allow you to put in the URL.
When the member logs into Member Connect and goes to their appointment reservation the URL will be there for them to click on.
The member can also get the appointment URL directly from their coach or from an automation that goes out to remind them of their appointment.
Creating a password is optional.
